"We will meet near the registration desk at 12.30" can be problematic. The
openradio miniconf tried that this morning and relocated three (or more)
times due to crowding. How about, "Meet at the bottom of the big stairwell
next to the fixed computers and tantalisingly close to the morning and
afternoon tea tables"... or similar.
